Montana University System Vehicle Policy
Transportation Services Rate Schedule (All Rates Exclude Fuel)
Effective January 1, 2002
Day calculation begins at the time of pickup; incremental days are applied every 24 hours therafter with 1 hour grace period for turn in. Returns after 5:00 p.m. will be considered as the next day. Weekend returns will be verified on Saturday and Sunday.
Potential Additional Charges:
- Excessive Cleaning Fee - $25 - $50
- Damage Charges - up to $250 (includes repairs due to damage or negligence)
- Trailer Towing - $0.05 per mile
- Excessive Off-Road Use - $0.05 per mile

Vehicle Reservations
Contact Transportation Services (ext. 3670) to make arrangements for vehicle reservations. We have a limited number of vehicles; make all reservations as early as possible. Reservations are made on a first come first served basis. If you have changes or cancellations, please inform Transportation Services immediately. Reserved vehicles will be held for 2 hours only.
Information Required
When reserving a vehicle, please have the following information available:
- Destination
- Type of Vehicle
- Person Using the Vehicle
- Purpose of Trip
- Pick Up Time and Date
- Return Time and Date
- Banner Index Number
Authorizations Required
Transportation Services vehicles are to be used only by authorized personnel, and shall be used only for official state business. For graduate students or students to check-out a vehicle, a letter authorizing vehicle use is required. Correspondence is to include driver's name, department responsible, date and purpose of trip, and signatures of the staff member in charge and the department head. This letter must be submitted prior to or at check-out time. Out-of-state travel requires your department to fill-out and keep on file a "Request and Justification" form.
Vehicle Check-out
Transportation Services hours are 7:30 a.m. to Noon and 1:00 p.m. to 5:00 p.m. Monday through Friday. Private vehicles, with current MSU parking permits, may be parked overnight in the South Gatton or Huffman parking lots.
Vehicle Check-in
Vehicles may be checked back in to Transportation Services 24 hours a day, any day of the year. During work hours, drive vehicle into yard and park it on south side of Motor Pool building. Please leave keys in vehicle and do not lock it. After working hours, return vehicle to the parking lot in front of the (Plew) Physical Plant building. Close windows and lock vehicle. Deposite keys in the mail box in the front door of the (Plew) Physical Plant building.
Please remember to record all purchases, place all receipts in the log book and leave the book in the vehicle.
Vehicle Use
No Animals
Animals are not allowed in the vehicles unless they are directly involved in University business.
No Alcohol
Alcoholic beverages are not to be transported or consumed in Transportation Services vehicles.
Traffic Violations
Fines as the result of traffic violations are the responsibility of the person operating the vehicle.
General Care and Upkeep
General care and upkeep of the vehicle is the responsibility of the person who checked it out.
Fuel, Oil, and Minor Maintenance
Fuel vehicle at Transportation Services whenever possible. Credit cards are issued for purchases of gas, oil, and minor maintenance. Sign and obtain a receipt, record the purchase and enclose it in the log book. If you use Transportation Services cards, your department will be billed. If you pay with your personal funds turn in your receipts to your department for reimbursement on your travel expense report.
Tire Purchase
If a tire purchase is absolutely necessary, try to buy the tire at a tire distributor rather than at a service station. Use a credit card or ask the distributor to bill Transportation Services directly. Call the Transportation Services office (406-994-3670) if a problem arises.
Major Repairs/Emergencies
If a major breakdown occurs during normal business hours, call the Transportation Services Office (406-994-3670). After hours, call the University Police (406-994-2121) and they will notify the appropriate person to assist you. All repairs must be approved.
Accidents
If an accident occurs, immediately contact the proper authorities and Transportation Services. Upon returning, complete the accident report and submit it to Transportation Services.
Insurance
All employees of the State of Montana are covered for bodily injury by Worker's Compensation insurance. Persons not employed by the State, such as students are not covered by Worker's Compensation insurance. Transportation Services is self-insured for vehicle damages. The department to whom the vehicle is assigned is responsible for the first $250, including towing charges for accidental damages. Liability insurance is carried by the State of Montana.
